Discussion

1. Audit Results Management Representative discussed the internal Audit results dates Dec. 2013 and Obtained the following regarding each process: a. Commercial: i. Responsibilities were not clearly identified for some job titles in the department. ii. New process was added without any mentioning in the QMS. iii. Marketing team doesn't have a clear procedures or measures. b. Estimation: i. Job responsibilities were not updated and structure was not complying with QMS. ii. Procedures sequences are not valid with the actual case and procedure was not updated iii. Interactions with other departments were not any more controlled through the QMS. c. Technical Office: i. Also Technical Office had same problems of Structure and Organization ii. Customer requirements review was not effectively implemented. iii. Design Planning was not handled effectively so delays regarding shop drawings. d. Planning i. Planning process was not effectively implemented for last three months. e. Production i. Production lost all file and data through labors' strikes.

2. Customer Feedback Management representative obtained that we had ____ Complaints during 2013, __ % of them were not realistic, ___ % closed during the 2013 and __ still open till now. These percentages obtaining identifiable change in our product quality level regarding last year. Also GM asked for a clear investigation and rapid corrective actions related to opened complaints and instant feedback. Commercial manager also stated that because of downsizing some function like customer surveys is not working very well. Organization development Manager also states that each process needs to be supplied with human resources will be considered in the beginning of 2014.

3. Processes Performance Management representative showed 2013 Objectives for _____, _____, _____, ______ departments and obtained that _____ % partially achieved and_______ % was not achieved. Also he commented that this was predicted because of circumstances that company passed by. General Manager asked 1st line Manager to set-up the 2014 objective to cover points missed through 2013 and clear budget Organization Development Manager announced that all managers will get their KPI's and Balanced Score Cards after 2014's Budget Approval.

4. Product Conformity Management Representative goes through our NC registry and analysis to obtain the extent of our product conformity and found the Following: a. Quality Department had issued ___ NC through the duration started 1st of January 2013 and Ended 1st of December 2014. b. Analysis obtained that ___% was because of Raw Material, ___ % was because of Workmanship and ___ % was related to Machines. c. Also analysis showed that actions with NCs were ____% Use as is, ___% Repair, ___% Scrap.

Corrective and Preventive actions Management representative present the status of Corrective actions and preventative actions obtaining that that during the duration from January 1st 2013 till December 1st 2013 QA department approved ___ Corrective actions and ____ Preventive actions. He also states that most of the corrective actions were related to NCs, Customer Complaints and Audit results.

7. Changes Through 2013 Management Representative discussed the changes as the following: a. Labor's Strikes affected productivity for at least three months. b. Labor's Strikes also affect the stability of the company and our word of mouth. c. Labor's Strikes also result in losing a lot of documents, tools and data related to the effectiveness of our QMS. d. Down Sizing also obtained shortage in some processes in the QMS. e. Turn Over due to a/m circumstances also affected the implementation of the QMS processes.



8. Recommendations a. General Manager decided to start urgent workshops to re- enhance our QMS performance to reach the effective implementation and maintaining for the management system. b. Action plan related to each internal audit report shall be submitted for QA department by max. 12th January 2014. c. Customer survey shall be carried out to obtain our status in the local Market. d. A new order shall be taken as an example for effective implementation. This Order is for HOI-ASTI Clients as we have a great volume of work with this client. e. Planning shall be done regarding the new priorities concerns, new capacity and considering subcontracting for extra capacity needs. f. Objectives shall be cascaded for the new financial year from the main revenue and EBIT objectives.
