Chapter 1 THE PROBLEM AND ITS BACKGROUND 1.1 Introduction
In the world of business, sales and inventory report has one of the biggest roles in the field of business industry. Recording data from past to present will calculate every statement and will help in monitoring the status of the business. Manual data recording of sales and inventory data are now a thing of the past. Indeed, the world is now inconceivable without computers. Billions of important data can now be stored and handily retrieved because of the database technologies that exist today. Precious time should be in properly managed in order to do all the things that the company or business has. Monitoring and managing the sales and inventory is a hard task for the manager or the owner.
As the world moves further and faster into a thriving technological age, so must the way we conduct our business. The Point-Of-Sale (POS) has been created by IT professionals to make the system of the business easy to manage. It calculates the sales for the day. And, Inventory System programs now on the market lets you track the usage, monitor changes in unit costs, calculate it when you need to reorder, and analyze inventory levels in item-by-item basis. It can even view stocks in the inventory right at the cash register with point-of-sale (POS) systems. Point-of-Sale System records each sale when it happens, and the inventory records are updated automatically.

1.2 Background of the Study The company Mabolo Flower Shop is a small flower shop that is managed by one person, the owner. The business sells different items or products like a typical flowers that we can see everywhere. The business can’t view their proper records of sales or income in a given time. It also doesn’t have its proper listings of product. In some instances, lost items are just being ignored by the owner. Our project title is “Point-of-Sale with Inventory system for Mabolo Flower shop”. By using our system, users can analyze inventory records, and figure it out how well all the items in the shop sell. Also, they can maintain and review sales histories easily. We used Microsoft Visual Basic 2010 and MySQL Management Studio 2008 R2. Using My SQL Server 2008 R2 as the main storage of the company`s inventory and sales report will cause problems such as data redundancy, data lost and data integrity because admin can easily access the company`s master list.

1.3 Purpose and Description The researchers hoped that the findings of this study will be beneficial to the Mabolo flower shop. 1.5 Statement of the problem The staff of Mabolo Flower Shop are having difficulties in keeping their transactions and inventory records.

1.7 Scope and Delimitations of the Study 1.7.1 Scope The study primarily aimed to design a Point of Sale with Inventory System for Mabolo Flower Shop. The system focuses on the business processes which includes; Point-of-Sale, automatic computing of sales for the day and Inventory report.

The system has a point of sale for performing smooth and accurate
transaction. It can create new sale or discard one, computes total purchase, cash receive and change, and the system can only accept cash payments. Sales are then logged on the Sales report for the employee so he/she can monitor his/her transactions made. All products have Item Name and Item Code so searching is more efficient.
1.7.2 Delimitations
The proposed system does not use hardware devices like barcode scanner.
Limits the payment transactions into cash.
Does not accept credit card, debit card and cheques as payment.
Its features is limited only to a LAN (Local Area Network) meaning it cannot be deployed over the internet.
Does not include the expiration date of the items.
The system can’t be use during brown outs.
Lastly returning and exchanging of sold item/s when customer made an error of purchasing an item is not supported by the system.

1.8 Significance of the study This study will be valuable and significant to users, company, costumers, and researchers.
For the Users Our proposed system will enable the user to work more efficiently and conveniently because gathering of inventory data and in sales transactions will be automated. For the Company Our proposed system will improve the Mabolo flower shop Inventory management of files and records will be automated, reducing the risk of lost files/records because of their current way of manually storing them.
For the Costumers Transactions will be done faster than the usual process because the gathering and inventory of the product records will be automated.
For the Researchers The system would benefit for the present and future researchers. By means if this study. They would have an idea on how to conduct their own study. 1.8 Definition of Terms Accuracy – the ability to work or perform without making mistakes. Admin – manages the adding of stocks, updating the inventory, and determining the users of the system. Conceptual Framework - is an analytical tool with several variations and contexts. It is used to make conceptual distinctions and organize ideas. Strong conceptual frameworks capture something real and do this in a way that is easy to remember and apply. Delimitation - are choices made by the researcher which should be mentioned. They describe the boundaries that you have set for the study. Inventory - a complete list of the things that are in a place. Inventory System - Inventory systems are tracking systems that inform you of the amount of raw materials, supplies or final products you have readily available. The inventory system is updated each time you sell an item or use raw materials to create a product, so you know what you have available for the following day or week. This type of system also allows you to order products in advance, so you have everything you need at all times. The Systems Development Life Cycle (SDLC), this framework provides system designer and developers to follow a sequence of activities. It consists of a set of steps or phases in which each phase of the SDLC uses the result of the previous one to create the whole system. With a SDLC model, programs built will have a clear documentation, structure and even in coding. SDLC model will have the proper documentation of every step and every part of the program.
Planning.
At the first stage of planning the session, the researchers have
undergone a brainstorming session to identify the target locale and discussed the needs and arising problem within. The researchers discovered that the Mabolo Flower shop is still using manual based process in making a sale and managing their inventory. The researchers listed down the problems that the locale encountered and discussed them with the locale.
Analysis. In this phase includes a thorough and detailed understanding of the current system, the researcher identifies the problem that need modification to solve the problem. The problems of the shop are the inefficiency in managing the inventory and no records of sales transactions. That is why the researchers develop a point-of-sale with inventory system to monitor and organized the inventory of the shop.
